What we need
  • Setup of selected accounting software (e.g. Aplos, Araize)
  • Training and guidelines on how to manage system and generate basic reports

We are a small non-profit startup and do not have an accounting professional on staff or on our board. We do not have software to generate basic financial reports (income & expenses, statement of assets) for the board. We need advice on what accounting software would be best and easiest for us, as non-accounting professionals, to use for this purpose. One of our board members feels she can manage the books and generate the reports once the system is set up.

What we have in place
  • We are currently keeping track of income and expenses on spreadsheets. The Executive Director provides the information, including bank/debit card statements and receipts to the administrative/marketing assistant who prepares the spreadsheets. A local church provides significant funding. The church maintains and administers those funds from a custodial account from which our sole employee is paid. The church handles payroll withholding and reporting, and provides informational reports to us.
How this will help
This project will save us $3,354 , allowing us to increase administrative/marketing assistant hours to support our mission, and underwrite geographical expansion of Souls Shot Portrait Project to other cities experiencing high levels of gun violence.

We need to be able to produce simple financial reports on a monthly or quarterly basis for the board. We also need financial reports for grant applications and to prepare a Form 990 for grant purposes. Currently we are filing a 990 Postcard.

Milestone 1: Implementation
  • Professional conducts financial data migration
  • Professional and Volunteer Manager check accuracy of migration
  • Professional sets up account admin privileges for Organization’s designated admin users

  • Professional provides basic training for Volunteer Manager and supporting staff for tracking and reporting needs including guidelines for continued use of system
  • Professional reviews above guidelines and tips with Volunteer Manager
  • Professional is available for up to two weeks to address questions as Volunteer Manager starts to adopt new bookkeeping system

Our mission

Our mission is to bring attention to and memorialize the lives lost and tragically altered due to gun violence. Portraits have the unique ability to call out the souls and profoundly affect those who see them. Our goal is to present diverse works that in some way relay graphically or through narrative the essence of the person being portrayed.

This project will continue to bring some joy and peace to the families and friends of victims and, by bringing attention to the scourge of gun violence in this way, be a call to action to all who see them.

What we do

We are an activist art project started in 2016. We randomly pair fine artists with family members or friends of victims of gun violence. The artists meet with the family/friend and learn about the life of the victims through stories, photos, mementos, videos, and writings. The artists then create portraits focusing on the life of the person using diverse approaches, styles, and mediums. The portraits become part of exhibitions. The exhibitions travel to various host venues, moving approximately every 4 weeks, and are free and open to the public. Each exhibition travels for one year. We offer educational programs in conjunction with the exhibitions. The exhibitions provide some solace to the loved ones of the victims and are a powerful force to move viewers to take action in the quest to end gun violence.

He helped us decide which accounting software was best for our organization walked us through setting it up, helped input data going back to the beginning of the year, and showed us which reports were needed on a regular basis to comply with non-profit accounting principles for purposes of providing information to the board, applying for grants, and eventually preparing to file a tax Form 990.
