What We Need
  • A templated outline or Gantt chart identifying and assigning roles and responsibilities for key objectives and deadlines for event
  • Note: To help start your event plan feel free to use this template as a starting point and our Events - Start To Finish project bundle to help implement its details
  • Note: This project does not include on-site event coordination or support on the day of the event.

Help with the plan for our Annual Celebration that is October 3

What We Have In Place
  • We currently have a to do list for the event, which should make it easy for you to get started. We also have a planning committee, and the ability to provide any other information you need.
How This Will Help

It will save on staff time and allow us to have the best event possible.

Project may require a short interview with the organization.

Prep: Information Exchange
  • Volunteer Manager provides overview of event goals, budget, vendors, and programming ideas, as well as any context about past organization events that can inform future event planning
  • Volunteer Manager introduces staff and/or volunteers available to help with event execution
  • Volunteer Manager and Professional agree on best approach and structure of the project management plan

Milestone 1: Research and Plan Development
  • Professional connects with Volunteer Manager for a brainstorming session
  • Professional drafts project management timeline, identifying roles and responsibilities and, if necessary, day-of-event schedule based on shared materials

Milestone 2: Recommendations and Feedback
  • Professional creates an outline of the event management plan with proposed timelines outlining assignments, check-ins, and deadlines
  • Volunteer Manager provides feedback to the Professional
  • Professional receives additional feedback from other team members (if necessary)

Milestone 3: Final Event Plan Feedback
  • Professional provides Volunteer Manager with final event management plan and shares how to update project plan
