What we need
  • Setup or update of accounting system in Excel or Google Sheets
  • Training and guidelines on how to manage system and generate basic reports

Our mid-level managers are seeking tools to help manage their department budgets, by using Excel to track expenses that can later be reconciled with our Finance Office each month.

What we have in place
  • We currently have finalized departmental budgets outlined in Excel, which should make it easy for you to get started. We also have budget to actuals for the current year, and the ability to provide any other information you need.
How this will help
This project will save us $1,984 , allowing us to respond to recent COVID supports for our youth, such as distance learning tools, basic needs support, and utility assistance.

YOTO is committed to creating strong and effective leaders within our organization and has recently given autonomy to department managers to oversee their respective budgets. This allows our organization to ensure that managers have the tools they need to successfully lead their teams and ultimately provide the best possible services to the youth we serve.

  • Volunteer Manager shares existing financial record keeping methods and/or financial reporting system
  • Volunteer Manager shares Organization's financial reporting needs and goals
  • Professional makes recommendations on accounting system reports to address the Organization's needs
  • Note: If necessary, Volunteer Manager may have Volunteer sign a Non Disclosure Agreement (NDA) prior to sharing and discussing Organization’s financial information

Milestone 1: Implementation
  • If necessary, Professional migrates data into Excel
  • If necessary, Professional and Volunteer Manager check accuracy of migration
  • Professional organizes spreadsheet based on Organization's needs

Milestone 2: Training & Handover
  • Professional provides basic training for Volunteer Manager and supporting staff for tracking and reporting, including guidelines for continued use of system
  • Professional reviews above guidelines and tips with Volunteer Manager
  • Professional stays available for up to two weeks to address questions as Volunteer Manager starts to adopt new bookkeeping system

Our mission

Youth On Their Own (YOTO) supports the high school graduation and continued success of youth experiencing homelessness.

What we do

YOTO serves homeless Pima County (Arizona) youth in grades 6-12 by providing financial assistance (a monthly stipend and emergency bill payment assistance), basic human needs (free food, hygiene products, clothing, school supplies and more), and one-on-one guidance.

The graduation rate among YOTO students is currently 82% which is 4% higher than the AZ state average of 78%.
