What we need
  • Written recommendations to improve a specific process, including the controls necessary to maintain the revised process
  • An outline of key metrics for tracking how successful the process improvements are over time, with current-state benchmarks
Additional details

Our organization has identified a specific process/workflow that is causing inefficiencies in the form of data re-entery. The extra processing has been identified as waste and we would like to revise this process to reduce error and improve efficiency.

All Peoples recently implemented a CRM application called Apricot to store client data, but we're also required to report data to the city in a separate application called BitFocus. Our staff is currently entering a specific list of data points

What we have in place
  • We currently have identified the required data points and have outlined steps, which should make it easy for you to get started. We also have access to the user manual, blueprints, and bootcamp workbook, and the ability to provide any other information you need.
How this will help
This project will save us $7,888 , allowing us to reallocate the funds to help with other initiatives at All Peoples.

This project is important because it would significantly reduce the amount of errors that are made through manual data capture and re-entry. These errors could be costly and impact the metrics that we plan to use to measure the success of our programs. Reducing the amount of time, it takes to enter client data would allow staff to dedicate more of their time to other areas of importance.

Prep: Distribution of Materials
  • Volunteer Manager provides current state map or process assessment document and other relevant materials to the Professional (see the Process Assessment project if you do not have a current state map)
  • Professional connects with Volunteer Manager for a brainstorming/overview session on perceived inefficiencies and potential improvements
  • Volunteer Manager explains the key goals for the process improvement (e.g., reduced cost, errors, time, etc.)

Milestone 1: Research & Analysis
  • Professional review the documentation provided and requests clarification as needed
  • Professional performs any additional research and analysis, including interviews with key stakeholders if needed

Milestone 2: Draft Recommendations
  • Professional provides initial recommendation on process improvements, controls, and key success metrics
  • Organization provides feedback which the Professional incorporates

Milestone 3: Final Recommendations
  • Professional delivers a final document summarizing recommendations for process improvements and controls to maintain the new process
  • Professional provides an outline of the key metrics the Organization should track in order to measure success over time, as well as the current-state benchmark metrics
