Project details

What we need
  • A documented process outlining how to administer a top-down, peer-to-peer, or a full 360 employee review process
  • A communication plan to share the process with others in the Organization to help them understand the approach and desired outcomes
  • Recommendations on tools that can be used to collect feedback (anonymous or identified) and organize quantitative and qualitative results
  • Best practices for rolling out the performance reviews, and coaching advice for managers and individual contributors
Additional details

We are looking for 360 feedback for employees and a more regular feedback system instead of an annual review system.

What we have in place
  • We currently have Documents that employees fill including their supervisor, which should make it easy for you to get started. We also have Samples of templates, and the ability to provide any other information you need.
How this will help
This project will save us $8,686 , allowing us to focus on a culture of feedback that contributes to the growth and retention of talent and employee empowerment. This will help us redirect funds to continued professional development.

Our performance review system for employees is outdated. The last time we updated this an employee performance system was nine years ago. We are interested in a more regular performance feedback system for all employees and not just an annual review system. We really want to encourage a culture of real time feedback. We want to move away from annual reviews.

  • The Volunteer Manager outlines the Organization’s goals for the review cycle, desired cadence and any specific needs
  • The Professional provides a high-level recommendation for approach based on the inputs from the Volunteer Manager

Milestone 1: Initial Process Design & Feedback
  • The Professional provides an initial process design outlining the questionnaire approach, general sequence of communications and meetings and suggested approach to collect the feedback (anonymously or identified)
  • The Volunteer Manager reviews the initial design and provides detailed feedback to the Professional

Milestone 2: Finalizing Process & Roll-Out Strategy
  • The Professional follows up with a revised process design based on the Volunteer Manager’s feedback
  • The Professional outlines a communication roll-out strategy to announce and administer the review process with timelines and anticipated Q&A
  • The Professional provides final recommendations on tools to administer the survey and organize the results / feedback

Milestone 3: Midpoint Check-In
  • The Volunteer Manager provides an update on the initial announcement of the review process and the progress thus far
  • The Professional provides feedback and advice to tune the process

What we do

HAP is a nonprofit 501 (c) 3 social service and community development organization founded in 1990 to address the needs of Minnesota's growing Hmong refugee community. HAP was formed as a mutual assistance agency, a designation that mandates at least 51% of our governing board must be representative of the community we serve. HAP has maintained this commitment and we have a unique service model designed by and for the community we serve.

Our approach blends social enterprise and economic development with education and family supports. The in-depth knowledge of Southeast Asian and immigrant and refugee community, coupled with a commitment to economic advancement, is driving amazing outcomes and award-winning programming:
- In 2011, HAP received the Minnesota Department of Human Services Commissioner Award for Outstanding Contributions in the Human Services.
- Our Affordable Care Act outreach program reached over 75,000 Southeast Asians across the U.S., resulting in HAP being honored by President Obama as a White House Champion of Change in April 2014.
- HAP was also awarded the Charities Review Council "Meets All Standards" Seal. The seal of approval is a reflection of the organization's commitment to quality and dedication to HAP's operating principles: accountability, integrity, and excellence.

HAP employs 142 employees through our portfolio of programs. We are rapidly expanding to address demand for services, and in the last 25 years we have grown to become the largest Hmong non-profit organization in the United States. We now offer programming across the nation. We have five service departments, offering over 30 programs.

HAP is also the parent company to four subsidiaries, Hmong National Development, HAP Transportation, Tapestry Restaurant and One Community Staffing Agency. HAP serves approximately 25,000 clients annually. We are proud that the broader immigrant and refugee community has sought out services and have the staff expertise to serve people from 18 nationalities.
