What we need
  • Setup of selected accounting software (e.g. Aplos, Araize)
  • Training and guidelines on how to manage system and generate basic reports

SJR supports 18 FIRST teams and the It's a Girls World program supporting STEM education in South Jersey. We are looking to implement a financial management system in which teams have real-time access to their budgets and we are better able to track and assign spending, donations, and manager our various budgets.

What we have in place
  • We currently have budgets for each team in Google Spreadsheets, which should make it easy for you to get started. We also have in development a Finance Committee, and the ability to provide any other information you need.
How this will help
This project will save us $5,409 , allowing us to continue to build our sustainability fund which we are growing to cover at least one year of all program's operating expenses and provide scholarships to our programs to underserved children.

Low-income is a barrier for many students in the tri-county area, they cannot afford to attend college and pursue educational opportunities that will help them to become successful and secure a good-paying job. In counties where people struggle to get off of public assistance, programs like SJR's make a difference and provide a path to college and out of poverty. A functioning, sustainable financial management system in place will allow us to not only support our exisitng programs but expand.

Prep: Information Sharing
  • Volunteer Manager shares detailed description of existing financial record keeping and financial reporting system
  • Professional makes recommendations on accounting system reports to address the Organization's needs
  • Note: If necessary, Volunteer Manager may have Volunteer sign a Non Disclosure Agreement (NDA) prior to sharing and discussing Organization’s financial information

Milestone 1: Implementation
  • Professional conducts financial data migration
  • Professional and Volunteer Manager check accuracy of migration
  • Professional sets up account admin privileges for Organization’s designated admin users

Milestone 2: Training & Handover
  • Professional provides basic training for Volunteer Manager and supporting staff for tracking and reporting needs including guidelines for continued use of system
  • Professional reviews above guidelines and tips with Volunteer Manager
  • Professional is available for up to two weeks to address questions as Volunteer Manager starts to adopt new bookkeeping system
