Project details

What we need
  • A photographer who will attend the Organization's event to take photos
  • A set of professionally edited, high-resolution images delivered in a digital format suitable for web or print use
  • Note: The photographer needs to be available in the same geographical location as the Organization or be willing to travel at own expense
Additional details

All volunteers at the West Suburban YMCA are required to complete a background check including a CORI, SORI, and national background check. Some volunteers are also required to watch a short training video on child protection practices.

What we have in place
  • The Angino Fall Festival will be held on October 21st from 1-3pm at the West Suburban YMCA. The event is led by our Senior Program Director, Kim Benzan, who has a clear schedule and map of the day's activities. Our two-person marketing department, led by Lisa LaVallee, will provide a list of desired photographs and be available to check-in throughout the event.
How this will help
This project will save us $2,998 , allowing us to devote key staff resources toward building a welcoming environment for all and highlighting our critical role in the community.

The West Suburban YMCA strengthens the foundations of community through youth development, healthy living, and social responsibility for all. Our Angino Fall Festival, an annual free event, highlights these core components with sports, fall crafts, and a visit from Curious Creatures. This is a key opportunity for us to build relationships among members and the broader community. High quality photos will help us share our successes and attract new attendees in the future, as well as raise our social media reach, a key marketing department goal. An independent photographer will also enable our staff to focus on the event's logistics.

Prep: Initial Meeting and Goal Setting
  • Volunteer Manager and Professional discuss the photography requirements, which should include the approximate number and types of photographs required (e.g., specific people, moments, or things), the desired style of photography, and the intended use for the photos or required digital format
  • Volunteer Manager provides the event schedule / run-of-show, which should highlight any key moments that need to be photographed (e.g., a planned speech or awards ceremony)
  • Professional and Volunteer Manager agree upon a work plan that includes the time and location of the event, any budget for travel, film, or other materials, and timing for receiving the edited photos

Milestone 1: Event Photography
  • Professional attends the event and takes photos according to the agreed-upon photography requirements

Milestone 2: Editing
  • Professional edits and color corrects a subset of the photographs taken, according to the agreed-upon number of photographs required

Milestone 3: Presentation of Deliverables
  • Professional delivers the edited set of photographs to the Organization in the agreed-upon format, as well as the complete set of photographs (raw files)
  • Organization credits the photos appropriately
