What We Need

  • A written document that summarizes the Organization’s needs and goals for remote staff and virtual collaboration
  • Best practices and tips for the Organization’s remote staff members, including recommendations on the best virtual collaboration tools, such as Slack, Trello, Google apps, Zoom, etc.
  • Recommendations for managing projects with remote staff, including how to set up a digital workspace for easy collaboration, and how to establish communication styles and structures that support effective virtual teamwork
  • Advice on budget considerations for tools, travel, and in-person meetings for remote staff members

How This Will Help

Acceso PanAm is a non-profit that works to protect access and conservation to Latin America mountain areas. We have volunteers and advocates in different countries and our staff is based in four different countries. An strategic plan to improve our teamwork and keep track of our advances will help us to reach our goals more efficiently as well as improve our results.

What We Have In Place

We have been using Google Drive, Skype, and Zoom to exchange files and communicate. We do want to better understand other tools that will help us to become more efficient.

We are a very small NGO take takes care of mountain access and conservation in Latin America Big challenge big area small budget but we do love an adventure as we are all climbers passionate about what we do and about the mountains where we play

Project Steps

Prep: Information Sharing
  • The Volunteer Manager provides the Professional with a summary of the Organization’s current or planned remote staff structure, including any known or anticipated challenges
  • The Volunteer Manager outlines the Organization’s goals for remote staff and teamwork, including any budget allowances for software, and in-person meetings or staff retreats
  • The Professional requests contact information for specific remote staff members to conduct informational interviews, if needed / appropriate
Milestone 1: Assessment
  • The Professional reviews the information provided and drafts an initial assessment of what is working and what can be improved with the Organization’s current remote team structure, processes, and tools
  • The Volunteer Manager reviews the assessment and provides feedback to the Professional
Milestone 2: Draft Recommendations
  • The Professional makes recommendations for specific processes and tools that support the Organization’s remote staff, and address specific challenges with remote communication or collaboration
  • The Volunteer Manager reviews and provides feedback to the Professional, including identifying any specific tools that the Organization would like more information on
Milestone 3: Final Recommendations & Next Steps
  • The Professional incorporates the Volunteer Manager’s feedback into the final recommendations document, including any additional information about specific tools (features, pricing, etc.) that the Volunteer Manager has requested
  • The Professional delivers the final recommendations document, and provides advice on how the Organization can take the next steps to implement them

Prerequisites for Professional
  • Experience managing remote staff, or working in a remote team structure
  • Experience or familiarity with current best-in-class chat, conferencing, and project management software
Prerequisites for Organization
  • A staff member who is able to dedicate time to working on this project
  • Identified goals for remote staff / teams
