Project details

What we need
  • A photographer who will attend the Organization's event to take photos
  • A set of professionally edited, high-resolution images delivered in a digital format suitable for web or print use
  • Note: The photographer needs to be available in the same geographical location as the Organization or be willing to travel at own expense
Additional details

Turnaround of digital photography files made available within 10 days of event for follow-up marketing deadlines

What we have in place
  • This will be a professional event with around 150 distinguished guests. Photographer will have a "green" room made available to store personal belongings or equipment, will be formally recognized in digital/print materials and credited in all future photo use, and will have a meal provided during the event. Photographer should be prepared to bring their own equipment and have the tools (hardware, software, etc.) required to edit and send a final batch of photos.
How this will help
This project will save us $2,998 , allowing us to prioritize our resources toward the expansion and sustainability of our award-winning Early Learning Center and Youth Enrichment Program, food shelf, clothing closet, senior programming, and our exciting new Archive Project.

This opportunity is focused on the annual event for Hallie Q. Brown Community Center in Saint Paul. Celebrating 89 years of operation, we are seeking a high-quality photographer to capture the story of this important moment in the organization's history. From the guests to the auction items to the world-class catering, we want to tell the story of this vibrant and marquee event in a way that propels us toward our 90th anniversary in 2019. With a small staff working many positions during the event, a dedicated photographer would allow us to share this joyous occasion with the world.

Prep: Initial Meeting and Goal Setting
  • Volunteer Manager and Professional discuss the photography requirements, which should include the approximate number and types of photographs required (e.g., specific people, moments, or things), the desired style of photography, and the intended use for the photos or required digital format
  • Volunteer Manager provides the event schedule / run-of-show, which should highlight any key moments that need to be photographed (e.g., a planned speech or awards ceremony)
  • Professional and Volunteer Manager agree upon a work plan that includes the time and location of the event, any budget for travel, film, or other materials, and timing for receiving the edited photos

Milestone 1: Event Photography
  • Professional attends the event and takes photos according to the agreed-upon photography requirements

Milestone 2: Editing
  • Professional edits and color corrects a subset of the photographs taken, according to the agreed-upon number of photographs required

Milestone 3: Presentation of Deliverables
  • Professional delivers the edited set of photographs to the Organization in the agreed-upon format, as well as the complete set of photographs (raw files)
  • Organization credits the photos appropriately
